Executive Assistant – VP/AVP

Location: Santa Clara, CA

  • Provide advanced, diversified and confidential executive-level administrative support.
  • Prepare and edit correspondence, communications, presentations and other documents. Monitor, respond to and distribute incoming communications as appropriate.
  • Answer and manage incoming calls for the Vice President and channel those calls to the appropriate
  • Interact closely with senior executives internally, including the President’s Office, and externally, including the Trustees  of the
  • Responsible for complex calendar management including scheduling and logistics of donor and trustee meetings, visits and events; coordinate and schedule activities and meetings with other executive-level administrative staff supporting the President, Provost, Vice Presidents and other campus administrators. Independently prioritize calendar activity requests and effectively and  respectfully  coordinate with a range of
  • Proactively manage materials and information related to the VP’s and AVP’s schedule and provide relevant information and materials in advance of meetings.
  • In concert with Donor Relations team, the Office of University Events and Protocol, and the Administrative Service Manager, assist with a wide range of logistics associated with high-level donor events and meetings and other  special events and stewardship
  • Receive and interact with  University  Relations
  • Conduct research, assemble and analyze data to prepare reports and documents.
  • Using the University’s donor databaseand other tools, run reports   and briefing information upon request, and process updates. Process contact reports for the Vice  President’s touches with donors  and
  • Provide project management for various internal and external committee and board
