HR Support Specialist I

Location: San Jose, CA

The HR Support Specialist will be accountable for developing and strengthening the applicant pipeline. The HR Support Specialist will report directly to the Manager, HR Service Center.

Job Responsibilities
Build strong relationships with store management teams to define the stores staffing needs and reach a consensus on the sourcing plan for applicants to include:

    • Posting of open positions on careers page
    • Utilize job boards and other internet resources to ensure optimal placement of job postings.
    • Establishing a weekly interview timeframe (window) for the store
    • Scheduling interviews and communicating logistics to candidates
    • Coordinating in-store hiring events for large number of hires
    • Develop an understanding of the various hiring profiles and job descriptions for Orchard’s hourly non-exempt store positions ofto be able to appropriately review all incoming applications and conduct initial phone screen interviews.
  1. Administer the job offer process for hourly non-exempt store candidates to include:
    • Providing the store management team with current market compensation data
    • Input of job offer into the applicant tracking system
    • Extending a verbal job offer to the candidate, typically over the phone
    • Upon offer acceptance, initiate the new hire online on-boarding process for the candidate
    • Coordinate the start date between the candidate and the store
    • Initiate the drug screening and background check process for the candidate and ensure all results are received prior to hire date
    • Answering all candidate inquires as they move through the new hire on-boarding process
  2. Perform updates to the HR/Payroll/OnBoarding/Recruitment System for the following:
  • Hire associates
  • Process associate data changes (pay, merit, job, department, etc)
  • Assist users with general HR/Payroll system support including Recruitment, OnBoarding systems, and password resets
  • Process separations
  • Employee Self Service
  • Discount & replacement badges
  1. Administer associate record scanning using electronic scanning system
  2. Assist the recruitment team with other projects or events as required, including new store hiring events and college recruiting events.

Requirements

  • High school graduate, college degree is preferred
  • 1-2 years recruiting experience, experience working in a call center or staffing agency recruiting/sourcing candidates is strongly preferred
  • Prior experience working in retail is a plus
  • Proficient at an intermediate level in Microsoft Excel, Word and Outlook
  • Strong communication skills (verbal, written and listening)
  • Strong organizational, time management (multi-tasking) skills with the ability to handle multiple priorities at once
  • Ability to handle multiple priorities at once
  • Ability to maintain confidentiality of information that is heard or seen in the normal operations of an HR department
  • Problem solving skills with Initiative and a strong sense of urgency
  • Positive energyand the ability to build productive relationships quickly
