Administrative/Homeland Security

Location: Monterey, CA

Job Description: Under the general direction of the Onboarding Manager, the Homeland Security Team Administrator
provides support to our employees in going through the US Homeland Security clearance process to
service government accounts. This person will outreach to employees, explain the process and answer
questions, provide forms and resources, support, track progress, and report results to ensure all eligible
candidates receive clearances.
In addition to the above, this position will assist with client audit preparation-researching, gathering
documentation, and creating client-ready audit reports.
This role ensures that all stakeholders are kept informed, that the Clearance process is managed
appropriately, and that assigned projects are delivered within scope, schedule, budget and quality, with
the highest level of accuracy and consistency consistent to meet internal and external customer

• Maintain lists of eligible candidates to submit for government clearances
• Maintain accurate and current database of candidates for clearance
• Prepare packets for submission to government agencies
• Outreach to candidates – via phone and email- to inform, encourage, and support them
throughout the clearance process
• Track candidates’ progress through the entire clearance process
• Report on candidate progress
• Independently coordinate and communicate with all internal groups, and external parties to
ensure smooth clearance process throughout
• Document candidate status in HR databases

• Gather documentation, assess and investigate employee HR history to accurately prepare client-
facing audits

• Ability to quickly address and resolve problems, possess strong decision-making and
organizational skills and the ability to take initiative
• Work with management to gather input & best practices and to consistently look for more
efficient & effective onboarding processes and best practices
• Coordinate special projects and develop efficiency improvements as requested


• Minimum 2 years advanced education plus 2 years’ experience in any of the following:
Human Resources, Project Management, Customer Service or Accounting
• Excellent verbal and written communication skills
• Exceptional attention to detail and concern for accuracy
• Great customer service skills
• Strong organizational abilities, working on multiple projects at a time
• Enthusiastic, cooperative, and positive team player
• Excellent troubleshooting and creative problem-solving skills
• Good follow-up skills – follows up aggressively on project details to completion Good
analytical skills with the ability to understand the “big picture”
• Demonstrated proficiency and speed in Word, Excel, Outlook, and other databases
• Familiarity with SalesForce, and/or internal Systems a plus
• Ability to multitask and adopt frequent process changes
• Self-motivated and self-directed individual required. Ability to think and act independently
• Ability to work quickly in a fast-paced environment
• Sense of urgency and ownership
